Privacy Notice 

What type of information we have:

If you are a member of BSoUP, we collect and hold your name, postal address, email address, and, if you have provided it, telephone number. 

How we get the information and why we have it:

The personal information we process is provided to us directly by you. Under the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information is to perform our contract with you as a BSoUP member. 

What we do with the information we have:

We use the information that you have given us in order to: 

  • contact you about BSoUP business only 
  • send out our magazine
  • email about meetings and competitions, and occasionally about other BSoUP activities or business

We will not share this information with any other organisation or person unless you specifically request us to do so.

If you cease to be a member, we retain your data until the end of the month following the next annual membership renewal date.  This is in case your membership lapsed in error, or we need to try to contact you, for instance about membership payments. After that period we delete your data from our storage systems (see below).

How we store your information:

The data is held in a restricted section of our website accessible only to BSoUP Committee members.  Names and email addresses are also held in our MailChimp account for the purpose of BSoUP emails to members.  Backup data is also held securely in password protected spreadsheets by the Membership Secretary.

Your data protection rights:

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances. 

Your right to object to processing – You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
